These terms apply when an organisation registers for or uses AI Assure. AI Assure is a product provided by IGC Technical Solutions Ltd, company number 06254148, whose registered office is 3 The Studios, 320 Chorley Old Road, Bolton, England, BL1 4JU. Contact hello@aiassure.net.
1. The service
AI Assure provides software for organisations to see AI application and website use reported by their enrolled devices, set allow and block policies for that use, and review device, policy, and report records in the customer portal. Features are available as described in the current product and account pages. The customer is responsible for deciding whether and how to use the information and controls for its own requirements.
2. Customer accounts
The organisation must provide accurate registration and billing details, protect its sign-in credentials, and ensure that people using its account are authorised. Account owners decide who can use the account and with what role. Two-step sign-in is required for every account. The organisation is responsible for giving appropriate notice to its users about device monitoring and for selecting a lawful and proportionate policy.
3. The agent software
The customer may install the AI Assure agent only on devices it is authorised to manage. The agent currently runs on 64-bit Windows 10 and Windows 11. It works on the device itself: it recognises AI services from our list, applies the customer's policy, and makes outgoing secure connections to AI Assure to register, check in, and report. AI Assure has no remote access to the customer's devices and cannot run commands on them, view their screens, or open their files.
Blocking stops listed AI websites loading and closes listed AI programs on the device. It is designed for everyday policy enforcement and may be bypassed by a person with administrator rights on the device or by tools that are not on our list. From version 1.3.0, the agent installs new versions of the AI Assure agent that we publish, after checking that each download is complete and unaltered; it never installs other software. Earlier versions are updated by running the current installer from the customer portal. An authorised uninstall request from Devices, or the end of the service, is delivered at a successful check-in. The agent attempts to uninstall after receiving that instruction; offline devices need to reconnect or be removed locally by authorised IT staff. Removing the agent removes its blocking from the device.
4. Price and billing
Prices are set per active agent each month, plus VAT, and are shown on the pricing page and during sign-up. Current prices: see the pricing page. Pricing may use a single price per agent or quantity bands, as shown before purchase. Where quantity bands apply, every agent uses the price for the company's total number of agents, rather than a separate rate for each slice of the quantity. There is no minimum agent quantity and no free trial. VAT is added at the rate that applies to the billing details and is shown separately before payment is set up and on every invoice.
Billing is monthly in advance. At the start of each billing period we issue an invoice, email it to the billing contact, apply any available account credit, and collect the remaining amount using Direct Debit through GoCardless. Changes to the number of agents apply from the next billing period and are not prorated; the portal shows the new quantity, start date, and monthly total before a change is confirmed. If prices go down, existing accounts move to the lower prices from their next billing period. If prices go up, we will email account owners at least 30 days before the increase applies, and the new prices apply to them from their first billing period that starts at least 30 days after that notice. New sign-ups get the current prices straight away.
Account credit is applied automatically to new invoices before payment is collected. Credit with an expiry date can be used until that date. Credit used appears on the invoice, and issued invoices are not changed afterwards.
The written AI policy is a separate one-off purchase paid by GoCardless Direct Debit. Existing customers may use their account's active Direct Debit mandate; other buyers complete GoCardless bank authorisation. Mandate setup or submission of a payment does not release the policy. The full document becomes available only after GoCardless reports the payment as paid out, and we email a secure access link. This may take several working days. A failed or cancelled payment does not unlock the policy. The email provides a private link to view, print or save the policy as PDF, rather than a PDF attachment. Public email links expire after 30 days; client portal access requires sign-in. The customer must review, approve and implement the generated policy. The document is not legal advice or an ISO certification. Your rights to request help or a refund are unaffected.
5. Payment failure and suspension
If a payment fails, we will email the account owners promptly and may try to collect the payment again. If the invoice remains unpaid, we will send a further notice about 24 hours before suspension, and if it is still unpaid seven days after the payment failed, the account is suspended. During suspension, access is limited to billing. Installed agents keep enforcing their last policy, but their check-ins and reports are not accepted. Full access, check-ins, and reporting resume automatically once the overdue invoice is paid.
6. Cancellation
The account owner can request cancellation from Billing in the customer portal or by emailing hello@aiassure.net from the account email address. We will confirm the cancellation and its effective date by email. Cancellation takes effect at the end of the current paid billing period, which remains payable, and no further invoices are raised. Charges are not prorated for agents removed during a paid period. The owner can withdraw the request until it takes effect.
When cancellation takes effect, the company's portal access ends and each agent is told to uninstall itself at its next check-in; an offline device cannot receive that instruction until it reconnects and may continue applying its cached policy. Arrange agent removal before ending the service, or remove it locally with authorised IT assistance. Company records are then kept or deleted as described in our Privacy Policy and Data Processing Agreement. Cancelling a Direct Debit mandate at the bank is not a substitute for contacting us, because that does not itself end the service agreement.
7. Acceptable use
The customer must use the service lawfully, respect other people's rights, and not interfere with the service or attempt unauthorised access. The Acceptable Use Policy forms part of these terms.
8. Data protection
Our Privacy Policy, Data Processing Agreement, and Subprocessors page explain how personal data is handled for the service.
9. Changes and termination
We may update these terms when the service or legal requirements change. We will publish the current version here and notify account contacts about material changes that affect an active subscription. Either party may end the service for a material breach that is not corrected after written notice, subject to any rights that cannot be limited by law.
10. Governing law
These terms and any dispute or claim connected with them are governed by the law of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory rights that apply to the customer.
